Should any member consider themselves unwell and have an infectious disease, we would ask you to stay away from the meeting, considering your fellow members. The meeting is held inside a venue and you may be in close proximity to others.
The following protocol has been revised with you and your fellow members, Health and Welfare in mind.
1. ATTENDING MEETINGS
a) Please can members help us by NOT arriving at the hall until 1.30pm which is the time we have the hall officially booked.
Committee Members and Speakers need time to set up the hall to be able to deal with things such as the projector, attendance, membership and distribution of Newsletters.
b) Access to the hall for all u3a members, irrespective of whether you are a Springhouse club member MAY BE either via the FRONT MAIN ENTRANCE or through the LEFT HAND SIDE ENTRANCE helping to avoid any congestion occurring within the Club corridors.
- If the main entrance is used please queue to the right of the main entrance exit door behind the barrier and proceed up the entrance slope. DO NOT QUEUE IN FRONT OF THE MAIN EXIT
- If the side entrance is used, please queue in TWO lines in the access to the side door and DO NOT QUEUE in the roadway in front of the Springhouse
- If you are disabled or use a walking aid, you and your partner/carer/helper can use the slope at the main entrance to enter or leave the hall.
- Committee members will be available to direct you on arrival.
c) For Health and Safety reasons, and to comply with fire regulations for leaving the building in an emergency, we have to count and record attendance at our monthly meetings. Please show your membership card if requested at the hall entrance doors.
d) New members, visitors and any members that have misplaced their membership card are asked to sign the visitor’s book.
e) If you need to leave the meeting before the conclusion please exit by the door at the rear of the hall and sign out in the book provided.
f) Members are requested NOT to reserve seats for others. The ethos of the u3a is to engage with others and encourage interaction between all members.
g) Raffle tickets will be on sale at the Meeting.
h) Our Membership Secretary is seated at the rear of the hall for all membership enquiries. Membership/Renewal Forms and the options for
paying are available on our website.
2. SALE OF EVENT TICKETS
a) Please note we do not start selling tickets for events, trips etc to members before 1.30pm and if allowed into the hall before that time, we
request you DO NOT queue at the positions selling tickets.
b) All Day Trip and Theatre Trip places will be sold first at a General Meeting. This will give every member a fair chance of participating in our
activities.
c) You can download, print and complete an Event Booking Form from our website to speed up the booking system.
d) Booking Forms will also be available at our General Meetings and one is generally available on the back of the newsletter.
e) Membership/Renewal forms and the options for paying are available on our website. Please see Join Us
3. MEETING FORMAT
Please note that the sequence and timings of events are approximate and will depend upon conditions prevailing at that time.
Our General Meetings will usually follow the format:
a) Doors will open at 1.30pm.
b) Membership enquiries, raffle ticket, and other ticket sales for our trips, shows and events commence for 45 minutes. (1:30pm to 2:15pm)
c) Teas and coffees will be served from 2:00pm to 2:15pm.
d) At 2.15pm we will commence the formal business of the meeting, starting with a brief introduction by the Chair.
e) This is followed by a talk or presentation from an interesting guest speaker starting just after 2:15pm.
f) Following the speaker at around 3:30pm, the raffle will be drawn followed by any other notices/ announcements.
g) The meeting formally ends at 4:00pm.
4. HOUSEKEEPING
a) Please turn your mobile phone off during our meetings. They can be disruptive and distracting to our speaker and to members close by.
We accept that there are circumstances where you need your phone to be on but please ensure it is set to Silent, and if you know you may need
to answer a call, please sit at the rear of the hall so that you can leave if necessary.
b) If you have purchased Drinks from the Springhouse bar, please can you return the empty glasses before you leave.
c) If you have purchased Tea or Coffee please can you assist us by returning your empty cups etc. to the rear of the hall.
